How to insert a pdf file into a word document

Recently, I had to take a few pages from a PDF document and paste them into a Word document that I needed to send to a client. In the process I found a few ways how you can insert a PDF document into a Word document, and I will explain that here!

If you have ever used different versions of Microsoft Office, you have probably felt the pain of features being bypassed or features being removed completely. Although Microsoft doesn’t keep everything consistent between versions, inserting a PDF is pretty much the same. I will explain the process for the Mac version (2011), which is slightly different, and for some of the latest versions of Office for PC (2007, 2010, 2013).

A big problem with the whole process is the insertion of several pages of PDFs into a Word document. Inserting a single page is easy, but if your PDF contains more than one page, Word fails miserably. When you insert an object in Word, it seems that it cannot be more than one page long. That’s why when you try to insert a multi-page PDF, only the first page is displayed.

There are two ways you can fix this: One is to convert the entire PDF into a Word document and then paste it, or the second option is to convert each page of the PDF into an image and then paste the images into your Word document . Depending on your PDF file, converting it to Word usually messes up the original layout of the PDF file. The best option is to convert to images, which I explain below.

Convert multiple pages PDF to JPG

Before we start inserting files into a Word document, let’s go over how to convert a multi-page PDF file into image files, namely the JPG format. You can also save in PNG or TIFF format, which will give you more clarity in the text. There are some free ways and some paid ways, so it depends on how often you do it and what software you already have.

Adobe Acrobat completely

If you have the full version of Adobe Acrobat, you can simply use it as" Save As" or" Save As" another one Select file and choose TIFF, PNG or JPG as file type for output. Acrobat automatically converts each page into a separate image file, which you can then insert into your Word document. Pretty simple, but Adobe Acrobat costs a lot, so not an option for most people.


There’s a program from TechSmith called SnagIt that lets you take screenshots and screencasts of your desktop on a Windows PC or Mac. The Windows version also has a printer capture utility that allows you to capture the print output from any other program. This will allow you to print your PDF to the SnagIt printer and automatically convert each page to an image. Unfortunately the Mac version does not support this option yet. SnagIt is $50, but it’s still much cheaper than Adobe Acrobat.

A good way to convert your PDF pages to JPG images is to use the PDF2JPG online conversion tool. Just select your PDF file, choose the quality and click the Convert button.

Wait a few moments and on the next page you will get a list of all pages with download links for each page. If you have a series of pages, do not worry! There is also a download archive link at the bottom so you can download a zip file with all the images.

These are only three options to convert the PDF files to images, but you can always Google PDF to JPG and probably you will find more solutions.

There is another commercial program that is quite popular that inserts multi-page PDF files into a Word document without worrying about converting to an image, first called OfficeExpander. It is an add-on for Word and you can simply click a button, select the PDF file and configure your options. For $10 it’s not a bad option if you don’t want to worry about conversion.

Insert PDF in Word for Mac 2011

Let’s start with the Mac version of Office. To insert a PDF file into Word for Mac, click the Insert menu option and then select Object .

Go ahead and select your PDF file and click Open. The nice thing about Office for Mac 2011 is that you can select the page in the PDF file that you want to include. For some strange reason you have not opened this in any of the Windows versions of Office. On Windows only the first page of the PDF file is inserted. On the Mac, you get this nice preview window where you can see each page and insert the selected page.

This will insert the PDF page as an image into the Word document. You cannot edit the PDF document. You can only move and resize it if you want to.

Paste PDF into Word 2007, 2010, 2013

Now let’s go through the process of inserting PDF files in Word 2007, 2010 and 2013 for PC. All in all, the process is pretty much the same, so I only need to explain it once. To get started, click on the Insert on the ribbon.

On the far right you will see the button Object . You use this option only when you insert a one-page PDF file. For images it is a bit different and I will explain it below. When you click on object you get a dialog box and here you click on the tab Create from file .

That’s all. The insert menu ribbon is slightly different in each Office version, but the object button is still there. If you need to insert multiple images (after converting your PDF pages to images), click Insert again, but select Image (e) . Make sure you name the images in an order that matches the order you want them to appear in the Word document. Do not start from 1! It’s best to use 3 digits like 001, 002, etc.

Convert PDF to Word

The last option I mentioned was to convert your PDF file to a Word document and then paste the Word document into another, which is pretty easy to do. The main advantage of this method is that you can edit the content of the PDF file in the Word document. The main drawback is that the accuracy of the conversion is very low when using free tools. You have to pay cash to get a very good conversion.

Adobe Acrobat (Standard / Pro) also has a built-in PDF to Word converter that does an excellent job. If you do not have Acrobat, you can use pdftoword.Try com. You can convert some small files for free with the service, but you have to buy the desktop software for larger files.

If you have a complicated PDF file, your results will vary. If your PDF file contains a lot of imported images, your chances of a good conversion are lower. If the PDF file was created directly from a PDF creation application or printed directly to PDF, your chances are much higher.


As you can see, there are a few ways you can import your PDF document into a Word document. If you have Adobe Acrobat, it will make life much easier.
